International Federation of Digital Oncology is committed to protecting the privacy of everyone who interacts with our website, our Working Groups, our events and our membership programmes. This Privacy Policy explains what information we collect, how we use it and the choices you have. By using our website or otherwise engaging with IFDO, you agree to the practices described in this policy.

1. Information we collect

Information you give us directly, such as when you register for membership, sign up for an event, join a Working Group or contact us:

  • Name, email address, phone number
  • Professional affiliation, designation and area of specialisation
  • Institution or organisation name
  • Postal address, membership category and a statement of your experience and interest in oncology, when you apply for membership through our application form
  • Payment and billing details (processed via our third-party payment processor)
  • Any other information you choose to share with us

Information collected automatically when you visit our website:

  • IP address, browser type and device information, recorded in standard web-server logs
  • Pages requested and the referring website
  • The date, time and IP address of a membership application, recorded to protect the form against abuse

Working Group and research data: real-world, anonymised clinical or scientific data used in Working Group research is not collected through this website and is not covered by this policy. It is governed separately by study-specific protocols, institutional ethics approvals and data use agreements between participating institutions and researchers.

2. How we use your information

We use your information to: create and manage your membership or Working Group participation; process payments and send related communications; send updates about events, webinars and IFDO news (you can opt out at any time); respond to enquiries and provide support; improve our website and programmes; and comply with legal obligations. We do not sell your personal information to third parties.

3. How we share information

We may share information with: service providers who help us operate our website, process payments or manage events (bound by confidentiality obligations); Working Group co-leads and core team members, where necessary to coordinate your participation; regulators or authorities where required by law; and a successor entity in the event of a merger or similar transaction, with notice where required.

4. Payments

Membership fees are processed through a third-party payment processor. IFDO does not store your full payment card details on its own servers. No payment is taken on this website.

5. Cookies

This website does not use analytics, advertising or tracking cookies. The membership application form sets a single session cookie that is strictly necessary to protect the form against forged submissions; it is deleted when you close your browser. You can control cookies through your browser settings. If IFDO introduces analytics tools in future, this section will be updated before they are enabled.

6. Data security

We take reasonable technical and organisational measures to protect your information against unauthorised access, loss or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data retention

We retain personal information for as long as necessary to fulfil the purposes described here, or as required by law. Membership records are typically retained for the membership term plus a reasonable administrative period thereafter.

8. International data transfers

As a global federation with members both in India and internationally, IFDO may transfer and store information across borders. Where we do, we take steps to ensure appropriate safeguards are in place.

9. Your rights

Depending on your location, you may have rights to access, correct, delete or restrict use of your personal information, and to withdraw consent where processing is consent-based. To exercise these rights, or to raise a grievance about how we handle your information, contact us at info@ifdoglobal.org or through the details on our Contact Us page.
